LOCATION

Shawan Downs

MEET DIVISIONS

All entries should be submitted on the Athletic.net registration page.

VARSITY

Each school may enter 7 athletes per gender in one Varsity division of their choice. Second or “B” Varsity teams are not permitted.

  • “Black & Gold” division is for teams seeking a highly competitive race with top-ranked programs

  • “Red & White” division is for all other teams.

JUNIOR VARSITY

Each school may enter 15 athletes per gender in the Junior Varsity races.

OPEN HIGH SCHOOL

There are no limits on entries per school for the open race. Boys and Girls will run at the same time.

Meet entries are limited to 80 total teams. Any teams wishing to join the waitlist can request to join the meet via Athletic.net. Schools will be added if/when a space opens up. Joining the waitlist does not guarantee entry to the meet.

ADDITIONAL ENTRY INFORMATION

  • The deadline to submit your final roster is Monday, September 30th at 12:00 PM Eastern Time. Emergency adjustments can be made between Varsity, JV, and Open race rosters in the event of illness/injury/etc., but new athletes cannot be entered into the meet after the deadline.

  • Coaches can enter a boys and girls team into different varsity divisions (i.e. girls in Black & Gold, and boys in Red & White, but you cannot split a gendered team into multiple varsity races (i.e. your top girl in Black & Gold and the rest of your varsity girls team in Red & White).

  • Coaches can only enter one boys varsity team and one girls varsity team in the meet. You cannot enter your top 7 boys in the Black & Gold race, your next 7 boys in the Red & White race, and the rest of your team in the JV race. This constitutes a "B" team and B teams are not allowed at this meet.

  • There are no restrictions on upperclassmen running in the JV or Open races

  • The Meet Director reserves the right to move varsity teams between divisions in order to achieve competitive balance and a full race for both divisions as needed. Any adjustments made will be communicated directly to affected coaches via email on Monday, September 30th after entries have closed. The goal is to give kids the best field to run against and hopefully pop off some PR's!

ENTRY FEES

$225.00 for 1 gender, $375.00 for both genders, $30 per athlete for schools entering 4 or fewer athletes

Entries will close Monday, September 30 at noon. Entry fees are payable through Athletic.net or by check (payable to Charm City Run Events and sent to Charm City Run Events, 117 Church Lane, Suite C, Cockeysville, MD 21030). Entry is not confirmed until payment is received.

Entries can be updated at any point until the deadline on September 30th.

ENTERING ATHLETES & PAYING THE ENTRY FEE

Many schools need an invoice for the entry fee in order to cut a check for payment. You can enter athletes and generate an invoice by doing the following:

  1. Head to the Athletic.net registration page

  2. Submit your roster by selecting the athletes you will enter into the meet. NOTE: You can edit your entries up until the deadline of September 30th at 12:00 PM with no penalty, so the athletes you enter initially do not need to make up your “final” team roster. In order to generate an accurate invoice you should enter the approximate number of athletes that you plan on running on race day (i.e. if you plan on bringing a full team you should enter a full team, and likewise if you only plan to run a few individuals).

  3. After you submit your entries, Athletic.net will generate an invoice (based on the “Entry Fees” breakdown above) that can be downloaded and forwarded to your Athletic Director for approval and payment. You also have the option to pay the entry fee by credit card at no additional fee.

Payment is due no later than race day, October 5th. Coaches may bring a check for the entry fee to the meet, but must advise the Race Director if they plan to do so. Teams that do not pay the entry fee in full by race day jeopardize future participation in the meet.

VENUE

The Shawan Downs property is a race venue unlike any other. Key areas for coaches have been identified in the map below.

COURSE

The 5,000 meter course at Shawan Downs was designed to create a true championship experience. A wide starting line and 1/3 mile straightaway transitions to a consistent 5m wide path lined on both sides traversing the property. With no loops or crossing points each race can begin on time and give each athlete the true cross country experience. The races finishes with a 1/4 mile long straightaway, crossing the line at the George Brown Jr. Stewards’ Stand. The natural landscape allows for hilltop views of the start and finish areas for spectators.

TEAM AREA

Each school will have a designated space in the team area marked by a sign with the school name on it. This area, along with the space inside the race track, is for athletes, training staff, and coaches only. Please find your space on race day and feel free to set up tents and any other equipment you may have. Athlete restrooms will be available just inside the track near the team area.

Please ensure that all trash has been picked up from your team area before you depart. Teams that leave trash behind will not be invited back.

BUS INSTRUCTIONS/PARKING

DUE TO HEAVY RAIN THE WEEK LEADING UP TO THE MEET, WE HAVE ADJUSTED THE BUS PARKING PLAN. PLEASE READ INSTRUCTIONS BELOW CAREFULLY.

Please follow the steps below for bus transportation:

  1. Buses will enter the property at the “Bus Entrance” driveway (see diagram below) and continue to the athlete drop off area where kids will disembark

  2. Empty buses will proceed out of the property, making a LEFT onto Shawan Road to head to the remote parking lot

  3. Buses will stage at Executive Plaza, 11350 McCormick Rd, Hunt Valley, MD 21031, during the meet

  4. When the team has cleaned up their area post-race and is ready to be picked up, buses will exit the remote bus parking area and follow the paved/gravel road on property to the pickup area where bus loading will take place. Please do not call your bus driver to come pick your team up until you are packed up and ready to go - delays in the pickup process will create a bottleneck for all other teams trying to exit.

If you are driving separately to the meet you will be able to park onsite. Please enter the property where team buses enter (Map Here) and let our staff know you are a coach. You will follow the same path as the buses to the Athlete Drop Off area, where you will be able to park in the grass between the road and the horse track fence (just below the purple box in the map below). This parking is for official coaches only - please do not advise any parents/spectators to park here.

RUNNER RELEASE FORM

The property at Shawan Downs is privately owned, and not a public venue that typically hosts public events. As such, the owners require all participants to complete a waiver in order to participate. The form can be filled out online, or downloaded below and given to a coach prior to the meet to be turned in at bib pickup. If you have any questions please email the Meet Director Will Murdoch at will@charmcityrun.com.
